The Payroll and Benefits Specialist is responsible for activities relating to payroll and company benefits, as well as Human Resources ("HR") matters and HRIS administration. The Payroll and Benefits Specialist carries out responsibilities in the following functional areas: reporting, auditing, and data management, HR accounting and controlling, project support, and management of internal and external information requests relating to payroll and benefits. This position will also provide support and back-up to the other members of the HR team.

Duties and Responsibilities:


  • Process payroll for hourly, salaried, and temporary employees; including reviewing and correcting hours in the time and attendance system, entering tax and direct deposit information, and administering garnishments, tax levies, and support orders.
  • Implement and maintain payroll best practices to improve efficiency and conduct regular audits on payroll procedures and records.
  • Respond to all unemployment claims in a timely manner.
  • Maintain employee records in payroll/HRIS systems.
  • Produce scheduled and ad-hoc reports pertaining to payroll requirements.
  • Collaborate with corporate regarding payroll budget for the US.


  • Act as the key contact for the retirement plan vendors, outside auditors, financial consultants, and internal business partners.
  • Process 401(k) and other health and welfare benefit payroll deductions and contributions and handle all required reporting and reconciliations.
  • Manage all 401(k) administration duties including but not limited to: loans, loan payoffs, roll over requests, hardship withdrawals, non-discrimination testing, audit requests, legally required notifications, yearly data collection and maintenance, other compliance issues.
  • Maintain benefit administration records in the HRIS systems.
  • Prepare various analysis, reports, and overviews related to benefit programs.
  • Process monthly billings from providers, which includes reviewing the billings for accuracy and approving for payment in a timely manner, as well as resolving discrepancies with vendors.
  • Participate in annual review for 401(k) retirement plans.
  • Formulate solutions to solve needs and issues regarding benefits matters.
  • Manage the tuition reimbursement program.
  • Administer the company's workers' compensation program.
  • Collaborate with corporate regarding benefits budget for the US.

Human Resources

  • Manage the annual appraisal and salary review processes.
  • Manage employee personnel files, records, and other documentation for employees, including processing new employees and all pre-employment paperwork.
  • Manage the onboarding and off-boarding processes for all employees.
  • Provide back-up support to the Senior HR Representative when required.
  • Produce scheduled and ad-hoc reports pertaining to HR requirements.
  • Lead a variety of other short-term projects as assigned.
  • Perform other duties as assigned by management.


  • Bachelor's degree in Business, Accounting, Human Resources, or an equivalent combination of experience and ability to perform the responsibilities listed above. Work experience should include knowledge of basic human resources, payroll practices, benefits administration, and compliance or other related experience.
  • 5-10 years of experience in the areas of payroll and benefits administration.
  • Strong Payroll and HRIS systems and administration knowledge.
  • Strong written and verbal communication skills.
  • Strong organizational skills.
  • Ability to work under pressure to meet deadlines.
  • Ability to identify and resolve workplace issues.
  • Ability to successfully address employee and manager issues.
  • Ability to maintain confidentiality.
  • Ability to work independently and as part of a team.
  • Good working knowledge of Google Workspace and/or Microsoft Office.
  • Intermediate level spreadsheet skills with the ability to analyze and audit data.

Preferred Skills:

  • Fundamental Payroll Certification or Certified Payroll Professional
  • Experience with ADP and/or SAP.
  • Advanced knowledge of ERISA and benefits.
  • Ability to solve complex problems and look at existing issues in a new way.
