Job Purpose

To lead and provide support in office and facility related matters concerning the 1&1 IONOS Inc. US headquarters in Chesterbrook, PA and offer support regarding office and facility related matters for our Data Center in Lenexa, KS.

Duties and Responsibilities

  • Manage, coach, and develop Office Assistant and Administrative Assistant.
  • Handle all daily office operations, including maintaining all office and break-room supplies for US corporate headquarters; monitoring application for daily reservations, meetings, and training schedules; provide office and facilities support to Data Center location on an as needed basis; direct liaison with office building landlord, maintenance staff, cleaning and building maintenance requests.
  • Manage and maintain the third party web-based travel booking system and all travel arrangements and itineraries for internal US employees, as well as additional travel requests for foreign colleagues, and third party visitors and vendors.
  • Perform monthly credit card allocation and receipt reconciliations, as well as daily and monthly vendor invoice review and approval.
  • Responsible for planning, organization, and execution of all internal and external annual company events and activities, including support for all Human Resources or individual Department-led employee events.
  • Maintain facility service and office vendor relationships, including overseeing vendor management, contract updates, rate negotiations, lease negotiations, and growth or savings opportunities.
  • Responsible for building and office safety, OSHA, office security, maintaining emergency plans, information guides, and contact lists, including performing weekly office safety checks.
  • Budget and manage operating expense spend for Office & Facilities, and assist with capital expenditure budgeting and tracking.
  • Support ad hoc company projects at the request of the US General Manager by acting as project manager and/or facilitator.
  • Must be available for off-hours support (evening, early morning, weekends) as needed.


  • High School Degree or equivalent
  • 4 years of experience in Office & Facilities Management, including vendor management
  • At least 1 year Travel arrangement/management experience
  • At least 1 year Event Planning or related area experience
  • Proficient in Google Workspace and/or Microsoft Office Applications
  • Credit Card Reconciliation experience
  • Problem Solving Self-Starter
  • Building improvement knowledge and ability to fix minor building issues

Preferred Skills

  • College Degree or Equivalent experience preferred
  • Experience managing office & facilities in a customer care contact center environment
  • Supply chain management experience
  • OSHA certification or equivalent experience
  • Effective written and oral communication skills
  • Proactive and self-motivated who is focused on results
  • Ability to handle priority projects with care and accuracy
